ReflectiveMind ("we", "us", "our") respects your privacy. This policy explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
- Account information — name, email address, and profile picture obtained from the authentication provider you use to sign in.
- Your reflections and journal content — text, voice transcripts, tags, sentiment scores, insights, action plans, and reviews you create in the app.
- Usage data — pages visited, features used, device type, browser, approximate location (from IP), and timestamps, collected via privacy-respecting analytics.
- Billing information — if you subscribe, payment details are handled directly by Stripe. We never see or store your full card number.
2. How We Use Your Information
- To provide and operate the service (store your reflections, generate AI insights, send notifications you've opted into).
- To improve the app, fix bugs, and build new features.
- To process subscription payments and send transactional emails (welcome, trial reminders, receipts).
- To comply with legal obligations.
3. AI Processing
Reflections and journal content you choose to analyse are sent to our AI provider solely to generate the insights you requested. Content is not used to train third-party models. AI providers process data under their own data-protection terms.
4. How We Share Information
We do not sell your personal data. We share limited information only with:
- Stripe — to process payments.
- Our email provider — to deliver transactional emails.
- Our AI provider — to generate insights on your explicit request.
- Law enforcement or regulators — only when legally required.
5. Data Retention
Your reflections and account data are retained while your account is active. You may delete individual reflections at any time, or request full account deletion by contacting us; we will remove your personal data within 30 days, except where retention is required by law.
6. Security
We use industry-standard measures (TLS in transit, encrypted database storage, hashed passwords where applicable, access controls) to protect your data. No system is 100% secure; we encourage you to use a strong password and keep it private.
7. Your Rights
Depending on your location, you may have rights to:
- Access, correct, or delete your personal data.
- Export your data in a portable format.
- Object to or restrict certain processing.
- Withdraw consent and close your account.

8. Children
ReflectiveMind is not intended for children under 16. We do not knowingly collect personal data from children.
